Cost Savings Achieved with Improved SAP and CMMS Integration

SITUATION

After a successful go-live of SAP S/4HANA, the client, a global food company, encountered critical issues related to their Computerized Maintenance Management System (CMMS). The system was not fully synchronized with the new SAP platform, leading to the following challenges:

• Outdated Spare Parts Information: The client’s CMMS system did not reflect up-to-date spare parts data in SAP, making it difficult for maintenance teams to access the correct parts for repairs and replacements.
• Missing Preventive Maintenance (PM) Tasks: The critical PM tasks were not properly set up in SAP, leading to delays in maintenance scheduling, risk of equipment failure, and increased downtime.
• Lack of Experience and Resource Constraints: The client’s maintenance division was resource-constrained and lacked the necessary expertise to address these issues within the new SAP environment. They needed immediate support to assess and improve their current maintenance processes.

SOLUTION

We deployed 10 Oxford resources to 10 different sites to conduct a comprehensive assessment of the client’s existing PM processes and CMMS system, identifying gaps in data flow between SAP and CMMS, and issues with spare parts availability and maintenance scheduling. We focused on improving the client’s PM scheduling within SAP by aligning PM tasks with operational requirements. This included customizing SAP’s preventive maintenance plans to match the client’s equipment and asset management needs.

RESULT

By addressing the challenges within the CMMS system and improving maintenance management through SAP, the client realized long-term cost savings through reduced downtime, increased asset longevity, and more efficient operations.
